The Challenge

Our client approached us after facing significant challenges with high employee turnover, frequent absences, and numerous payroll errors. Their operational efficiency was being compromised as a result, which was affecting overall productivity and morale.

With over 400 temporary workers onsite, managing these issues had become too much of an overwhelming task.
An in-depth site needs analysis revealed that the induction and new starter process was contributing to poor candidate retention, and the payroll system was difficult to manage and prone to errors. These issues required a comprehensive solution to improve retention rates, streamline payroll processes, and reduce absenteeism.

The Approach

To support, we deployed an onsite team consisting of a payroll and admin consultant, and two account managers. The team operated on an alternating shift pattern to cover all three daily shifts, ensuring continuous support and oversight.
Our onsite presence allowed us to effectively manage site staff, from taking calls to conducting return-to-work meeting, we were able to significantly reduce absenteeism.

Collaborating with the client’s training team, we developed a comprehensive induction and training program for all new starters, including agency workers. This program emphasised the value of each worker and integrated performance management to identify and support high performers.

In addition to this, we were able to streamline the payroll processes by utilising the client’s T+A system for tracking absences and leave. We also established a system for managers to easily submit overtime and clock card discrepancies, which minimised payroll errors and virtually eliminated related queries.

The Results

The partnership that we were able to form with our client results in substantial improvements for the site.
We were able to reduce absenteeism with our proactive absence management approach. The enhanced induction and training program improved new starter retention, as employees felt more valued and better prepared for their roles. The collaboration on training and performance management ensured that training needs were promptly addressed, further enhancing employee satisfaction and retention.

We were able to ensure that payroll processes became more efficient with our new process drastically reducing errors and eliminating nearly all payroll-related queries. Our comprehensive and collaborative approach not only resolved the immediate issues but also positioned the client for sustained operational efficiency and employee satisfaction, solidifying our reputation as leaders in the recruitment industry.
